Security & trust

How QualiFlow protects dealership data

This page describes the controls QualiFlow AI actually runs today, in plain words. It makes no certification claims, because QualiFlow does not hold any yet.

Last reviewed: Checked against the product as built

The short answer

Each dealership's data is kept apart by the database itself, not only by the app. Provider passwords and backups are encrypted, staff sign in with email codes and optional authenticator 2-step verification, and Owners decide what each person can see. Opt-outs are handled before Aria sees a message, and every action Aria claims is checked by the server first.

  • Database row-level security separates every dealership.
  • Secrets and nightly backups are encrypted, and backups are restore-tested every week.
  • A tamper-evident audit log that nobody can edit or delete.
  • Customer email goes only from the dealership's own mailbox or domain.
  • Aria’s call recording is off until an Owner turns it on, and callers can stop it. Calls your team starts from a contact follow Settings → Calls.
  • A text STOP is honored at once, and a marketing unsubscribe never stops service messages.
  • Our team watches a platform log of failed calls, messages, Aria replies and journey steps across every workspace.

No certifications, stated plainly

QualiFlow AI does not hold SOC 2, ISO 27001, PCI or any other security certification, and does not claim TCPA, CAN-SPAM or 10DLC compliance on your behalf. Your dealership stays responsible for its own messaging compliance. No system is perfectly secure; this page tells you what we built so you can judge it.

Your data

Separation, encryption and backups

How dealership data is kept apart, how secrets are stored, and how we make sure a backup can actually be restored.

Tenant isolation with row-level security

Database (PostgreSQL)

Every request is checked so people see only their own dealership and the locations they may access. Underneath that, the database enforces the same separation with row-level security policies on the tables that hold dealership data. The policies are keyed to the dealership's workspace, so a query can only return rows that belong to the workspace it runs for.

  • The app connects with a database role that is not allowed to bypass those policies.
  • The database has no public network port; only the app reaches it.
  • A customer's remembered details are never shared between customers or between dealerships.

Encrypted secrets and a keyring

Connections, sign-in and transport

The credentials QualiFlow holds for your connected mailboxes, calendars and messaging channels are encrypted with AES-256-GCM. The keys live in a keyring file on the server, outside the database and readable only by the app, so a copy of the database alone cannot decrypt them. The keyring holds an active key plus older keys, so keys can be rotated without losing access.

  • Passwords are stored only as salted scrypt hashes, never in readable form.
  • Authenticator secrets for 2-step verification are encrypted with a server key the database never holds.
  • All traffic uses HTTPS, with HSTS. Signatures on messages from our providers are verified, so forged ones are rejected.
  • Application logs leave out message content, passwords and tokens.

Encrypted nightly backups, restore-tested weekly

Production server

A full backup of the database and private files runs every night. Each backup is encrypted with AES-256-GCM, then decrypted and hash-checked before it is kept. The newest 14 nightly and 4 weekly backups are retained.

Every week an automatic restore test decrypts the newest backup into a throwaway database with no network, restores it, and compares every table, row count and row-level security policy with what the backup recorded. Then the test copy is deleted.

Today these backups are kept on the production server. An encrypted off-server copy is planned and not yet switched on.

Hosted in the United States

Infrastructure

QualiFlow runs on a dedicated server in a US data center. The app runs in read-only containers with every extra system privilege removed, behind a web server that handles HTTPS.

Some service providers, such as messaging, calling, email and AI model providers, process data to deliver the service. They are listed in our Privacy Policy.

Your team

Who can sign in, and what they can do

Sign-in checks, Owner-set permissions and a log of what changed.

2-step login and trusted devices

Every staff account

New accounts confirm their email with a 6-digit code. Signing in from a browser QualiFlow doesn't recognize asks for a new email code, and that browser is then trusted for 30 days. Anyone can also turn on 2-step verification with an authenticator app, which comes with 10 recovery codes.

  • 2-step verification still applies after a Google or Microsoft sign-in.
  • Sessions end after 30 minutes without activity and after 8 hours at most. Sign-in cookies cannot be read by scripts on the page.
  • Changing a password or turning on 2-step verification signs out the person's other sessions.
  • Exporting or erasing customer data, legal holds and resuming paused sending each ask the Owner to confirm it's them again.

Owner-set staff permissions

Settings → Team & roles

A workspace has two access levels, Owner and Staff. Owners start each staff member from one of 19 dealership starting points (such as General Manager, Sales Manager, Service Advisor or Technician) and adjust it: which pages they can open (no access, view, or view and change), which departments they work in (Sales, Finance, Service and Parts, whole department or assigned only), whether they can approve Aria's replies, and which locations they work in. An Owner can also make a salesperson's own number or mailbox private to them. Staff with no saved access see no customer pages at all.

  • Nobody can change their own role or access.
  • A workspace always keeps at least one active Owner.
  • Exports, starting campaigns and Gmail, Outlook and calendar connections can be granted to staff (General Manager and Manager have them by default). Facebook, Instagram and WhatsApp connections stay Owner-only.

Pages, actions, departments, locations and reach are checked together on the server and in the database.

A tamper-evident audit log

Settings → Go-live checklist

Important changes, such as team and permission changes, AI settings, API keys, contact privacy requests and pausing outbound sending, are written to an audit log. Each entry is linked to the one before it, so a changed or removed entry is detected. Entries can't be edited or deleted by anyone.

  • Owners can run an integrity check and download entries as CSV; the download is itself logged.
  • The workspace is alerted if the log fails its integrity check.

Your customers

Consent, email, Aria's replies and calls

The rules that protect the people your dealership talks to are enforced by the server, not left to the AI.

Customer email only from your own domain

Email replies, reminders, campaigns

Every email to a customer is sent from the dealership's own connected Gmail or Outlook mailbox, or from an address on the dealership's own verified domain. It is never sent from a QualiFlow address. If no dealership sender is connected, no customer email goes out at all.

QualiFlow's own address is used only for staff account emails, such as sign-in codes.

Aria proposes, the server decides

Aria, QualiFlow's AI agent

Aria is one AI model working through fixed server tools. When Aria wants to book, record or send something, code does it and returns a receipt. Aria may only say something was booked, recorded or sent when that receipt proves it; the server removes any outcome claim no receipt backs.

  • Every reply is checked against your dealership's records before it is sent. A reply that states something the records don't support is rewritten once, or replaced by a short standard line.
  • Aria never invents prices, stock, discounts or finance terms, and passes discount and finance questions to your team.
  • Consent, opt-outs, allowed hours and approvals are enforced by the server, never by the AI's instructions alone.
  • You choose Off, Ask first or Autopilot, and staff can take over any conversation.

Call recording and transcripts, under Owner control

Settings → Calls

Owners choose what Aria keeps from a call: nothing, a short summary (the default), or a full transcript with a summary. Call recording is a separate choice and stays off for Aria's calls unless an Owner turns it on. Calls your team starts from a contact follow the same Settings → Calls choice, and the customer hears that the call is recorded before being connected. Nobody is recorded silently: at the start of every call, Aria tells the caller what the call keeps, in the caller's language.

  • If a caller asks to stop, both the transcript and the recording stop at that moment, and that call's recording is deleted.
  • Recordings are copied into QualiFlow's private storage and deleted from the phone provider. They play inside QualiFlow only, with no download button and no public link.

Data export and erase

Owners, for customer requests

When a customer asks about their data, an Owner can download everything QualiFlow holds about that contact, place a legal hold, or erase the contact. Erasing removes their details, message text, call summaries, transcripts and recordings, including the phone provider's copy. Consent, delivery and audit records are kept without the person's details, and an erased contact can't be messaged again.

  • Erasing needs the Owner to confirm it's them and to type ERASE; a legal hold blocks it.
  • Every export and erasure is recorded in the audit log.
  • Owners can also export contacts as CSV, up to 5,000 at a time.

FAQ

Security questions dealers ask

Is QualiFlow SOC 2 certified?

No. QualiFlow AI does not hold SOC 2, ISO 27001 or any other security certification today. This page lists the controls we run instead, such as database row-level security, encrypted secrets and backups, 2-step login and a tamper-evident audit log.

Can another dealership see our customers?

No. Every request is checked against your workspace, and the database itself enforces row-level security policies keyed to each dealership, with an app role that cannot bypass them.

Where is our data hosted?

On a dedicated server in a US data center. Messaging, calling, email and AI providers process data to deliver the service; the Privacy Policy lists them.

Does QualiFlow record calls?

Aria records a call only if an Owner turns call recording on; it is off by default. Calls your team starts from a contact follow Settings → Calls, with a spoken notice when they are recorded. Aria tells every caller what the call keeps, and a caller who asks to stop ends both the transcript and the recording, and that call's recording is deleted.

What happens when a customer replies STOP?

The opt-out is recorded before Aria sees the message, and all texts to that customer stop. Service messages can continue by email if the customer has an address. A marketing unsubscribe stops marketing only.

Can a customer have their data deleted?

Yes. An Owner can export everything QualiFlow holds about a contact or erase it, including messages, call transcripts and recordings. Consent and audit records are kept without the person's details, and the request is logged.
