What it is
Your domain is Verified once every record in the Sending group is found at your domain provider exactly as shown. Until then the chip says Pending, or Failed when a record is missing or doesn't match. QualiFlow keeps checking in the background, so you don't need to keep the page open.
How to use it
- Open Settings → Connections → Email domain and the domain's panel.
- Find every Sending row marked Failed, Checking again or Not checked yet.
- At your domain provider, compare each record's Type, Name / Host and Value character by character. Use the Copy buttons and paste the value whole.
- Open How to add these records and your provider's tab for its tips.
- Wait a few minutes, then select Verify DNS. You can check each domain once every 15 seconds.
- If the chip is still not Verified after 48 hours with every Sending row matching, create a ticket in Support with the domain, the rows marked Failed and your DNS provider's name. DNS records are public, so you can include them.
What the data means
After Verify DNS, the page says "yourdealership.com is verified. You can send email campaigns from it now.", "Some records for yourdealership.com don't match yet. Check the rows marked Failed." or "Some records aren't visible yet — this page checks again every 30 seconds." Too soon after a check, it says "Checked a moment ago. You can check again in N seconds."
Checking again means the last check hit a temporary problem. QualiFlow retries waiting domains about once a minute, temporary problems after about five minutes, and failed checks about once an hour. A verified domain is checked again every day; if a record later breaks, the domain stops being used for new sends until it's fixed.
Only the Sending records decide verification. The DMARC and tracking rows are optional: Not added is fine.
Possible issues and fixes
The records are new
Symptom: Rows say Pending or Not checked yet, or "Some records aren't visible yet".
Why: DNS changes can take a few minutes up to 48 hours to appear.
Fix: Wait. QualiFlow keeps checking in the background.
How to check: The chip changes to Verified by itself.
A record was copied wrongly
Symptom: A Sending row says Failed.
Why: A missing character, the wrong Type, a missing MX Priority, or a Name / Host with your domain in it twice. Some providers add your domain to the name themselves.
Fix: Correct the record at your provider. If yours doesn't add the domain, use the full name shown under each name. Then select Verify DNS.
How to check: The row says Verified.
A provider setting is wrong
Symptom: The records look right but stay Failed.
Why: On Cloudflare, CNAME records must be "DNS only (grey cloud)". On Namecheap, MX records need "Custom MX". Or the records were added where your DNS isn't managed.
Fix: Change the setting, or send the records to whoever manages your website: they know where your DNS lives.
How to check: Verify DNS reports the domain as verified.
Every record says Failed
Symptom: The chip says Failed and every Sending row says Failed, even days later.
Why: The records were never added at the company that hosts your domain's DNS (its nameservers). That isn't always where you bought the domain: a domain bought on a domain marketplace can still be parked there, with its DNS hosted by the marketplace.
Fix: Ask whoever manages your domain where its DNS is hosted, add the records there, then select Verify DNS. If you don't use the domain, remove it. QualiFlow support can run a DNS check that shows where your DNS is hosted and which records public DNS can't find.
How to check: The rows change to Verified one by one.
The domain was Verified, then email stopped
Symptom: Sending from the domain stopped, and the chip is no longer Verified.
Why: The daily check found a Sending record that no longer matches, often after a change at your domain provider.
Fix: Put the Sending records back exactly as shown, then select Verify DNS. If sending still fails, create a ticket with the domain and when it started.
How to check: The chip says Verified and a test email from that sender is delivered.
