Receive replies and track clicks on your email domain

Control sending and receiving separately on your own email domain. Aria replies only when sending, receiving and live replies are on; receive-only messages stay in Inbox for your team.

What it is

Two optional parts of Email domain:

  • Receive replies in QualiFlow brings customer replies to your domain's senders into the Inbox, threaded with the email they answer. It points the domain's mail (MX) to QualiFlow, so only turn it on if this domain has no other email inbox. If your office email uses this domain in Gmail, Outlook or with your web host, leave it off.
  • The Recommended (tracking) record puts tracked links in your email on your own domain, usually links.yourdealership.com. Opens and clicks are counted either way.

How to use it

  1. Open Settings → Connections → Email domain and find your domain.
  2. Turn on Receive replies in QualiFlow, read the warning, and select Turn on receiving.
  3. Add the MX record shown under Receiving at your domain provider, exactly as shown, including its Priority.
  4. Select Verify DNS. Wait until the Receiving row's Status says Verified.
  5. Send a test reply to one of your campaign emails from another address.
  6. For tracked links on your domain, add the CNAME under Recommended (tracking), then select Verify DNS.
  7. To stop receiving, turn the switch off and select Turn off receiving. Then remove the MX record at your domain provider, or point it back to your mailbox, so mail for the domain isn't lost.
  8. Use Send email from this domain to control outgoing staff, Aria and scheduled email separately from receiving. With sending off, incoming mail stays in Inbox for your team and Aria does not start a reply. Both switches, a published routed agent and your live reply settings must allow an Aria reply; customer consent still applies.

Control sending and receiving separately

In Settings → Connections → Email domain, each connected domain has two switches:

  • Send email from this domain controls staff replies, Aria replies and scheduled messages from all of its senders. Turn it off for receive-only use. Incoming emails stay in Inbox for your team; Aria does not start an AI reply while sending is off. Queued messages are checked again before sending.
  • Receive replies in QualiFlow controls incoming messages. It needs the receiving MX records shown on the page. Leave it off if Gmail, Outlook or your existing web host already receives mail for that domain.

With both switches on, Aria can answer incoming emails when your workspace's live replies are enabled and a published agent is assigned. Domain senders appear under Aria Lab → Channel routing, just like mailboxes. A prior manual unassignment is kept. With sending off, your team can read incoming messages and add internal notes. These switches do not grant customer consent or turn live replies on.

What the data means

New replies are accepted only while receiving is on, the domain is Verified, and every Receiving MX record is Verified. The domain's Verified chip is decided by the Sending records, so a verified domain can still refuse replies: check the Status of the Receiving row.

A domain that was already receiving replies before 16 October 2026 keeps receiving while its MX record is fixed, and its panel says "Replies to this domain still come into the Inbox for now." Once a check verifies the MX record, it must stay verified for replies to keep arriving.

Mail to any address on the domain can land in the Inbox, but you can reply only from an active sender for that exact address. Attachments on received email are listed by name but not stored. With receiving off, replies go wherever the domain's mail normally goes.

Stopped addresses on this page lists customers QualiFlow stopped emailing: after a bounce, no email is sent; after a spam report, marketing email stops but replies and appointment messages still go. A stop from your domain can't be lifted here: select Contact Support for review.

Possible issues and fixes

Replies to a campaign don't reach the Inbox

Symptom: Customers say they replied, but nothing shows in the Inbox.

Why: Receive replies in QualiFlow is off, the domain isn't verified, or the Receiving MX row isn't Verified yet.

Fix: If the domain has no other inbox, turn receiving on. Add the Receiving MX record at your domain provider and select Verify DNS until that row says Verified.

How to check: A test reply appears in the Inbox, threaded with the original email.

The panel says new replies aren't accepted

Symptom: "New replies to this domain aren't accepted until every receiving MX record is verified."

Why: Receiving is on, but the MX record is missing or doesn't match.

Fix: Add or fix the MX record shown under Receiving, then select Verify DNS. On Namecheap, choose "Custom MX" first.

How to check: The notice disappears and the Receiving row says Verified.

Our office email stopped arriving after we turned on receiving

Symptom: Staff stopped getting email at their usual addresses on this domain.

Why: Receiving points all of the domain's mail to QualiFlow.

Fix: Turn Receive replies in QualiFlow off, then point the MX record at your domain provider back to your mailbox.

How to check: A test email to a staff address arrives in their usual mailbox.

A customer gets no email from our domain

Symptom: One customer says they never get your email.

Why: Their address may be under Stopped addresses after a bounce or spam report.

Fix: Find the address under Stopped addresses. For a domain stop, select Contact Support for review. If it isn't listed, check the address on their contact.

How to check: The address is no longer listed and a test email arrives.
