Give Aria a note for several contacts

Select several contacts and choose Aria note to tell Aria what to do for all of them, such as "Contact them and follow up" or "Call them". Aria plans each contact and shows how many calls she queued, notes she made for the team and contacts she skipped.

What it is

Aria note in the Contacts selection bar gives one instruction to Aria for every contact you selected. Pick a quick choice, Contact them and follow up or Call them, or Something else, and add any detail.

Aria then plans each contact on her own. If the contact has a phone number and Aria calls are switched on, she queues a call. Otherwise she leaves an internal note for your team, and you get a notification. A contact she can't plan (for example with no phone or email) is skipped, with the reason.

A note is your team's instruction, never the customer's permission. The usual checks for permission, opt-outs and sending hours still apply to anything Aria sends later.

How to use it

  1. In Contacts, tick the contacts you want (up to 100 at a time).
  2. In the bar that appears, select Aria note.
  3. Choose Contact them and follow up, Call them or Something else.
  4. Optionally type more detail, such as "Ask if they still want the SUV and offer a test drive this week". With Something else, type the full instruction.
  5. Select Send to Aria.
  6. Read the result: how many calls queued, notes for the team and skipped contacts, with the reason for each skipped one. Select Done.

What the data means

What the data means
ResultMeaning
Calls queuedAria will call these contacts (they have a number and calls are on)
Notes for the teamAria left an internal note for your team instead of contacting them
SkippedAria couldn't plan these contacts; the reason is shown under Skipped

A short summary also shows as a notice, for example "Aria planned 5 contacts: 1 call queued, 2 notes for the team, 2 skipped."

Possible issues and fixes

I don't see Aria note in the selection bar

Symptom: The bar shows other actions but no Aria note.

Why: You are viewing Trash, or no contacts are ticked.

Fix: Go back to the active contacts list and tick at least one contact.

How to check: Aria note shows first in the bar after "selected".

Every contact was skipped

Symptom: The result says all contacts were skipped.

Why: The contacts have no phone, email or chat on file, or Aria isn't allowed to contact them yet.

Fix: Read the reason under Skipped. Add a phone or email to the contact, or record permission on the full profile, then try again.

How to check: The next result shows calls queued or notes for the team.

It says bulk Aria notes aren't available yet

Symptom: "Bulk Aria notes aren't available on this server yet."

Why: Your QualiFlow server hasn't been updated with this feature.

Fix: Give a note to one contact at a time from its profile (the Aria note button at the top), or ask your QualiFlow contact to update.

How to check: After the update, Send to Aria shows the result card.
