Set a contact's lead status

Lead status shows where a customer is in your sales process, from New to Won or Lost. QualiFlow and Aria move it forward by themselves; Owners can set it on the contact's profile. Smart lists, campaigns and lead score automations can use it.

What it is

Lead status is a simple label for where a customer is in your sales process: New, Contacted, Qualified, Appointment set, Negotiating, Won or Lost. It sits on the contact's profile, beside the Lead score card.

The lead status keeps itself up to date:

  • a new customer's first message sets New (when there is no status yet);
  • a reply by Aria or your team moves New to Contacted;
  • a booked appointment sets Appointment set;
  • an agreed sale (or an opportunity marked won) sets Won.

Aria can also set Qualified, Negotiating or Lost when the conversation clearly shows it. Automatic changes only move forward, never change Won, leave Lost only for a later sale, and never replace a status a person set after the event. You can always set any status yourself.

The lead score (0 to 100) is worked out by QualiFlow from what the customer did. The lead status is where the customer is in your sales process. You can use both: for example a smart list of hot leads that are still Contacted.

How to use it

  1. Open Contacts, select the contact and select Open full profile.
  2. Find the Lead status card beside the lead score.
  3. Open the list and choose the status, for example Qualified. It saves straight away.
  4. To use it in a smart list, open Contacts → Tags & smart lists, add a rule with Lead status and choose the status.
  5. To start a campaign when the status changes, use the trigger Lead status changes in the Campaign Designer. A campaign can also set it with the Set lead status block.

What the data means

No status yet means nothing has set one. The line under the list says who set the current status, for example "Qualified · set by Sam Lee", "Contacted · set by Aria" or "Won · set by Automation". Every change, with who made it, is in the contact's Activity.

Changing the status never sends anything to the customer by itself. Only a campaign you started that uses Lead status changes acts on it.

Possible issues and fixes

I can't see the Lead status card

Symptom: The contact's profile has no Lead status card.

Why: Lead status is for Owners, and it is hidden for a contact in Trash.

Fix: Sign in as an Owner, or restore the contact from Contacts → Trash.

How to check: The card shows beside the Lead score card.

"Lead status could not be saved. Nothing was changed."

Symptom: The message shows after you pick a status.

Why: The connection dropped or the contact changed at the same time.

Fix: Reload the profile and choose the status again.

How to check: The line under the list shows the new status and your name.
